Hospitality Coordinator

We are seeking a motivated self-starter with experience working in a busy hospitality environment that enjoys providing excellent customer service. This position will oversee our recently expanded lodging and hospitality services, ensuring visitors to Heartwood have a positive experience from first contact to departure. Strong organizational and communications skills needed, as well as flexibility and creativity. Must be comfortable interacting with diverse groups of people and skilled at problem solving and resolution. The ideal candidate will have a knack for crafting beautiful spaces and memorable guest experiences.


Job Description

The Hospitality Coordinator reports to the General Manager (GM) and works with the Management Team to provide exceptional guest experiences at Heartwood Mountain Sanctuary (HMS). This position oversees hospitality operations including Housekeeping and Front Desk guest services at the Heartwood Welcome Center (HWC) and plays a leadership role in creating a welcoming and memorable experience for visitors to the sanctuary.


  • Oversees daily hospitality operations including Housekeeping and Front Desk guest services at the Heartwood Welcome Center (HWC)
  • Performs a variety of front desk and guest service duties including greeting guests upon arrival, lodging and event registration, check-in/out services, invoicing, payments, transportation, travel recommendations, retail services, and special events
  • Manages online reservation systems, make sure that lodging and services information on HMS and affiliated websites is updated and accurate, responds to guest reviews
  • Maintains guest communications through phone and email
  • Coordinates housekeeping workflow (staffing, scheduling and ordering) to ensure that all lodging and public spaces are kept in clean and presentable manner
  • Performs various housekeeping tasks as needed, including room servicing, deep cleaning of buildings and facilities, laundry room inventory and supplies
  • Upholds cleanliness and sanitation standards for Heartwood campus and buildings
  • Supports campus beautification projects, makes recommendations to improve guest areas and amenities, provides timely reporting of building repair/maintenance needs
  • Supports GM and Management Team in a variety of support tasks, as needed
  • Participates in management meetings to set goals and objectives, report on progress within department and make recommendations for increased efficiency and systems
  • Participates in development of guest incentives and marketing strategies
  • Maintains highest levels of professionalism and courtesy when interacting with other team members, guests, and visitors
  • Uses company resources (labor, tools, supplies) in efficient, cost-effective manner
  • Acknowledges and complies with current Heartwood Community Agreements and Employee Handbook policies



  • Previous hospitality, hotel or guest services experience
  • Ability to provide consistently high level of customer service and engagement
  • Comfortable interacting with people from diverse backgrounds
  • Detail-oriented, and a desire to create memorable guest experiences
  • Excellent written and verbal communication skills
  • Demonstrated leadership ability
  • Ability to work well independently
  • Ability to juggle multiple projects and prioritize responsibilities
  • Ability to remain calm in times of conflict and seek constructive resolution
  • Proficiency in various computer programs used in hospitality operations
  • Flexibility for night, weekend and/or holiday scheduling
  • Ability to work safely and effectively in rugged environment
  • Physically fit and capable of lifting 25 lbs
  • Valid driver’s license and clean driving record
  • Knowledge of local area preferred



Full time, hourly position based on experience. Housing accommodations provided. Full time employees are eligible for health coverage after 90 days of employment. 

FLSA Status: Exempt
